About Us
The Millennium Centre (St Helens) Ltd is a registered charity dedicated to supporting communities across St Helens by providing high-quality facilities for charities, community organisations, businesses and public services.
Following the acquisition of the historic Mansion House in Victoria Park, we are seeking a motivated and enthusiastic Business Support Officer to join our team.
This is an exciting opportunity to become one of the first permanent members of staff based at Mansion House, helping establish a welcoming and professional environment whilst supporting the day-to-day running of this prestigious new community hub.
As the building develops and occupancy increases, this role is expected to progress to a full-time position.
The Role
This is a varied position combining reception, administration and finance support within a friendly, small team.
The successful candidate will be the first point of contact for visitors, tenants and contractors whilst also providing administrative and financial support to the Executive Chairman and wider management team.
The role requires excellent organisational skills, strong attention to detail and the ability to manage a varied workload using your own initiative.
No two days are the same.
Main Duties
Reception
- Welcome visitors, tenants and contractors.
- Provide a professional and friendly reception service.
- Answer telephone calls and respond to enquiries.
- Manage incoming and outgoing post.
- Assist in fundraising events
- Oversee contractors and domestic cleaners
- Assist with meeting room bookings and visitor enquiries.
- Ensure reception and communal areas remain welcoming and presentable.
Administration
- Provide administrative support to the management team.
- Prepare correspondence, reports and meeting documentation.
- Take minutes at meetings where required.
- Maintain electronic and paper filing systems.
- Coordinate meetings and appointments.
- Order office supplies.
- Assist with maintaining tenant records and office documentation.
- Update the charity’s website and social media platforms when required.
Finance
- Process supplier invoices using Sage.
- Assist with supplier payment runs.
- Maintain accurate financial records.
- Assist with bank reconciliations.
- Liaise with suppliers regarding invoices and payments.
- Provide general finance administration support.
General Responsibilities
- Build positive relationships with tenants, visitors and contractors.
- Maintain confidentiality when handling sensitive information.
- Assist with community events and charitable activities.
- Support the smooth day-to-day operation of Mansion House.
- Undertake any other reasonable duties appropriate to the role.

Essential Skills & Experience
- Previous administration experience.
- Previous reception or customer service experience.
- Previous finance or accounts administration experience.
- Experience using Sage or similar accounting software.
- Good knowledge of Microsoft Office (Word, Excel and Outlook).
- Excellent written and verbal communication skills.
- Strong organisational and time management skills.
Desirable Skills
- Experience within the charity or voluntary sector.
- Experience in a multi-tenant office or community building.
- Experience updating websites or social media.
- Knowledge of Microsoft 365.
Hours
Initial Hours
- Tuesday: 1:30pm – 5:00pm
- Wednesday: 9:00am – 5:00pm
- Thursday: 9:00am – 5:00pm
- Friday: 9:00am – 5:00pm
Approximately 24.5 hours per week.
Following the successful development and occupation of Mansion House, the role is expected to increase to 37.5 hours per week (Monday to Friday).
There could be occasional exceptions where additional hours and some weekend working may be required.

Education
GCSE or equivalent (preferred)
Experience
- Administration: 1 year (preferred)
- Reception or Customer Service: 1 year (preferred)
- Finance or Accounts Administration: 1 year (preferred)
- Sage: 1 year (preferred)
Licence/Certification
- Full UK Driving Licence (preferred)
